POSITION SUMMARY Reporting to the CEO, the Executive Assistant provides support to the CEO and the executive team. The Executive Assistant works across multiple functions on multiple tasks and under tight deadlines and is required to apply a high degree of discretion and independence using excellent time management, sound judgment, and self-composure under pressure. Responsibilities include maintaining confidential company records and organizational documentation, assisting with the schedule and travel arrangements of the Executives, coordinating meetings, events, and presentations, and operating as a correspondent and communicator.
CORE ACCOUNTABILITIES
- Independently manage complex daily, weekly and long-term schedules for the senior executive team
- Arrange travel for the senior executive team including itineraries and agendas; booking flights, transportation, accommodations and any other support as required
- Maintain confidential company records and prepare related reports
- Maintain Strike industry association memberships
- Coordinate or participate in professional and industry events in correlation with the senior executive team
- Organize various public relations events for the CEO and company
- Execute shareholder program, including coordination with external parties to maintain all minute books, shareholder correspondence, resolutions, and preparation of shareholder and option agreements, etc
- Prepare, edit and proofread correspondence
- Prepare communication, reports, and materials for executive team’s publications and presentations
- Create, transcribe, and distribute shareholder, director, and executive meeting agendas and minutes
- Organize and coordinate internal and external meetings, conference calls and events. Activities include; preparing agendas, organizing logistics, participant contact and coordination, catering needs, record keeping and capturing and following up on action items
- Participate in Board of Directors meetings by taking minutes, planning the agenda, and putting together resolution packages
- Complete expense reports
- Take a leadership role in the planning of Monthly & Quarterly events and communication sessions, Calgary Flames suite hosting, holiday parties, and other events as required
- Other marketing functions as required
QUALIFICATIONS
- Office administration or accounting diploma or bachelor’s degree (i.e. administration, accounting, commerce) is preferred.
- Minimum five years executive assistant experience.
- Experience with the energy or construction industry is an asset.
KNOWLEDGE, SKILLS, AND ABILITIES
- Advanced knowledge of Microsoft Office Suite (Excel, Word, PowerPoint)
- Knowledge in SharePoint
- Proficient in all social media platforms
- Computer literate and capable of learning new software applications
- Exemplary professional verbal and written communication skills
- Excellent organizational and time management skills
- Possesses an eye for detail
- Practices discretion with confidential information
- Strong customer service orientation
- Exceptional interpersonal skills and capable of working with multiple levels of staff and management
- Proactively seeks and accomplishes tasks that lead to a safe, efficient, and productive work environment
